Girls Inc. of Durham
Executive Summary
Girls Inc. needed to determine whether its existing donor management platform remained the right fit or whether another solution would better support fundraising operations. The decision required more than comparing feature lists. Leadership needed a complete donor management system that users could adopt, Girls Inc. could implement and support, and the organization could sustain financially over a three-year horizon.
ProcurePro provided independent technology sourcing, evaluation and negotiation advisory through the DEFINE, ASSESS and PROTECT phases of the DAPT™ framework. The work progressed from requirements definition and RFP issuance through proposal analysis, supplier demonstrations, a formal recommendation and Phase 3 negotiations. Three suppliers submitted proposals. The evaluation tested their ability to meet Girls Inc.'s technical and functional requirements, then examined the practical differences revealed through demonstrations, including ease of use, solution complexity, training, implementation and support.
The evidence did not point to the supplier with the highest requirements score. One supplier led the written requirements evaluation, while another performed better in the demonstration stage and appeared more suitable when the full decision was considered. A third supplier was eliminated because it did not offer a complete donor management solution. ProcurePro following rigorous evaluation, recommended that Girls Inc. move forward with the preferred supplier, then provided Phase 3 negotiation support, including pursuing additional discounts on one-time fees.
The Challenge
Donor management technology sits at the centre of Girls Inc.'s relationships with supporters. The system must maintain reliable donor records, support fundraising activity and remain usable for the people responsible for daily administration. A platform can appear strong in a written response yet create operational strain if it is too complex, difficult to learn or dependent on support that does not fit Girls Inc.'s capacity.
Girls Inc. entered the decision with an incumbent supplier and several credible alternatives in the market. Early research considered the incumbent, Canadian providers and platforms recognized in donor management reviews. Girls Inc. then needed to convert a broad market scan into a defensible shortlist and evaluate suppliers consistently without allowing familiarity, brand recognition or a single score to determine the result.
Affordability also had to be assessed over time. Suppliers structured implementation, subscription and support costs differently, and one bidder submitted revised pricing during the process. A meaningful comparison therefore required a three-year TCO analysis and a clear separation between price and solution completeness.
Why ProcurePro was Engaged
Girls Inc. required an advisor that represented its interests alone. ProcurePro does not sell donor management software, accept supplier commissions or perform technical implementations. That independence allowed the evaluation to focus on organizational fit and evidence rather than on a preferred reseller, platform or implementation path.
ProcurePro also brought discipline to a decision involving different forms of evidence. Written evaluations showed how each supplier responded to the requirements. Demonstrations showed how the products behaved in practice. TCO analysis showed the expected commercial commitment across three years. Leadership needed all three perspectives to understand the trade-offs; decide which supplier should advance and carry that evidence into negotiations.
How ProcurePro Helped
DEFINE
ProcurePro worked with Girls Inc. to define the technical and functional requirements for a complete donor management solution. The DEFINE phase established the business needs, evaluation scope and evidence suppliers would need to provide, creating a consistent foundation for the RFP and subsequent decision.
The market review considered the incumbent and a wider set of alternatives, including Canadian providers and platforms recognized in donor management reviews. This allowed Girls Inc. to move from a broad market view to a focused competitive process without allowing familiarity or market visibility to determine the shortlist.
ASSESS
ProcurePro issued the RFP, on behalf of Girls Inc. in December of 2023. The process created a common basis for supplier responses and reduced the risk that a familiar product, a persuasive sales presentation or an isolated feature would dominate the decision.
Three suppliers submitted proposals by the end of January, 2024. ProcurePro evaluated their responses against the documented technical and functional requirements. One supplier achieved the highest written requirements score, followed by the eventual preferred supplier and a third bidder.
All three suppliers advanced to demonstrations in March of 2024. The demonstrations materially changed the comparative picture. One supplier did not provide a complete donor management solution and was removed from further consideration. Between the two viable platforms, the eventual preferred supplier scored higher on training, implementation and support and appeared more suitable when complexity and ease of use were considered.
ProcurePro conducted a competitive TCO analysis over three-year pricing for the viable suppliers, including revised pricing from one bidder. The overall evaluation combined requirements performance, demonstrations and total pricing rather than treating any one measure as decisive. This gave Girls Inc. a complete view of capability, usability, delivery support and expected cost before choosing a negotiation path.
PROTECT
Following the recommendation, ProcurePro supported Girls Inc. during Phase 3 negotiations with the preferred supplier. The work carried the evaluation evidence into the commercial discussion and included pursuing additional discounts on one-time fees. ProcurePro remained on Girls Inc.'s side of the table, helping maintain alignment between the recommended solution, expected commercial commitment and the organization's interests.
The negotiation support did not change the need for precise status reporting. The engagement advanced beyond recommendation into negotiations, including securing contractual improvements, and a signed agreement preparing for implementation.
The Defining Decision
The defining decision was whether the strongest written requirements result should outweigh the operational evidence revealed during demonstrations. One supplier led the initial requirements scoring. The eventual preferred supplier, however, performed better in areas that would shape adoption and delivery, including training, implementation and support. Girls Inc. also viewed the preferred supplier as the more suitable option when comparing solution complexity and ease of use.
The third bidder was no longer a credible alternative because the demonstration confirmed that it did not provide a complete donor management solution. That left two viable suppliers and a genuine trade-off. One showed the highest written requirements score, while the other demonstrated a better overall fit for Girls Inc.'s people and implementation needs. Three-year pricing added the commercial dimension required to test whether the preferred operational fit remained supportable.
Considering the full RFP evidence, ProcurePro recommended that Girls Inc. advance the preferred supplier to negotiations. ProcurePro then provided Phase 3 negotiation support and pursued additional discounts on one-time fees.
Business Outcomes
The engagement enabled Girls Inc. to select a complete donor management solution based on documented requirements, supplier demonstrations and a three-year total cost analysis, then enter into a negotiated contract with the preferred supplier.
Strategic Outcomes
- Established a structured and defensible evaluation process across three suppliers
- Eliminated a supplier that did not provide a complete donor management solution
- Selected the solution that offered the strongest overall fit based on functionality, ease of use, training, support and cost
Commercial Outcomes
ProcurePro negotiated the contract with the preferred supplier and secured an 11% Girls Inc. discount on recurring fees, reducing annual fees including a 50% onboarding discount valued at $1,000.
The resulting two-year agreement included unlimited users, donor management and online giving capabilities, support, coaching, data migration, data review and cleanup. The negotiated contract concluded ProcurePro’s involvement following the DEFINE, ASSESS and PROTECT phases of the DAPT™ Framework.
Why This Matters
A donor management system should be evaluated against Girls Inc.'s actual operating capacity, not only the number of requirements a supplier marks as supported. Written responses reveal coverage, but demonstrations expose how users will navigate the platform, how much complexity Girls Inc. must absorb and whether training and support are likely to be sufficient.
The highest-scoring proposal may therefore differ from the strongest overall recommendation. Leaders should investigate why the scores diverge rather than averaging them mechanically. In this case, the demonstration evidence showed that the preferred supplier offered Girls Inc. a more suitable balance of ease of use, complexity, training, implementation and support, even though another supplier achieved the higher written requirements score.
Pricing comparisons also need a consistent time horizon and equivalent scope to conduct a thorough TVO analysis. A low price from an incomplete solution does not represent value, and revised pricing should be incorporated without erasing differences in implementation or support. Comparing the viable suppliers over three years helped leadership connect commercial commitment to the solution each supplier could actually deliver.
Independent technology selection advice is particularly valuable for nonprofits because internal resources are limited and supplier demonstrations can be persuasive. A client-side advisor creates a repeatable decision process, challenges incomplete solutions and preserves the distinction between a recommendation, a negotiation and a final contract.
